Title: Administrative Assistant

 

Reports to: Administration Manager

 

Position Specifics: Full Time      Est. 40 hours/week                        Exempt/Salary

 

Position Description

The most important role for this position is team support and assistance.  An open mind and a take charge sense of creativity are essential for this position to assist the many departments and personnel in the most effective manner.  The position can be assisting in any area needed, from clerical and administration to marketing and business development, from errands and reception to project research and letter writing.  Ideas for finding more ways to contribute to and assist the team are welcomed, as well as the ability to receive and provide constructive criticism to better hone each idea into a plan that can be implemented.  Anywhere this position can find to free up other team members’ time to continue to grow the business is appreciated, and the more the company grows, the more every position, including this one is rewarded.

 

Administrative Responsibilities:

  • Document control, including maintaining complex file systems, both hard copy and digital.
  • Communications management, including phone systems, faxes, emails and mail.
  • Maintain all office machines, fill paper trays and toner, clear jams, calls for service, etc.
  • Maintain appearance of office with general office maintenance, tidy supply room, clean break area, water plants, etc.
  • Assist with monthly reporting for all departments.
  • Maintain office and marketing supply inventory.
  • A multitude of miscellaneous helpful tasks as assigned.

 

Project and Marketing Support:

  • Project research and customer interviews by phone as requested and assigned.
  • Report printing, copies, assembly, and shipping as required.
  • Booking/Scheduling interviews, travel and field support as needed.
  • Contacting clients for surveys, introductions, gathering information, etc.
  • Assisting with administrative aspects of marketing segments.
  • Drafting letters and memos in professional writing formats.
  • Extensive internet research for business development and projects.

Exceptional English communication skills - both verbal and written.

Excellent ability to follow complex directions.
Knowledge of professional computer and internet use ettiquette.
Must be available for interview in Reno during interview week(s).
